CFA exam day provides CFA Societies® an opportunity to engage with CFA candidates through on-site presence. CFA Societies can provide snacks during the lunch break and/or distribute promotional materials following the exam.
However, CFA Societies are not able to be on-site prior to the start of the exam. Alternatively, societies may consider hosting an off-site event, such as an after-exam cocktail party or gathering for CFA candidates. This has proved to be a better way to engage candidates especially after a six-hour exam. If your event is purely off-site with no exam day presence, you do not need to complete the intention form linked below.
To protect the security and integrity of the CFA exam process, CFA Society presence at the test center is not permitted unless you obtain prior approvals.
If your event will be held at the test center, kindly note that the approval process is in two-fold: 1) approval from CFA Institute, and 2) approval from the test center venue.
This includes, but not limited to, requests for posting signage and/or handing out flyers at the test center to advertise an off-site event or providing food/beverage inside the venue. Please note, some venues may not allow event activities that have been previously approved by CFA Institute, or they may require a license agreement for event space from the society. You must abide by the venue’s requirements.
If you plan to host an event on exam day, please complete the following:
- Complete the Intention Form no later than 29 September 2019. Because of our internal processes, intention forms must be submitted via the above link by the deadline. We cannot approve requests received after this date. Please note there may be more than one exhibitor present at the venue.
- Your event or service must be available to ALL candidates at the test center. We will not provide any assistance with the arrangements of private, members-only events.
- If your event will take place at the test center venue,
- CFA Institute may restrict the location of your event at the venue.
- After obtaining approval from CFA Institute, contact the venue no later than 6 November for approval of your event.
- We will provide contact information for the venue. It is your responsibility to obtain their approval and coordinate the details.
- If required, you must enter a separate and distinct contractual agreement with the venue.
- You are not permitted to be present at the test center in any manner prior to 11:30 a.m. or 4:30 p.m. for any onsite post-exam event.
- Printed materials, promotional items, or other materials may only be distributed at the conclusion of the afternoon session of the exam.
- While at the test center on exam day,
- Your event must not cause a noise disturbance or interfere with candidate flow.
- You are not permitted to take any photos at the test center without the advance approval of the Director, Exam Security.
4. Important: Notify your Society Relations manager immediately if you cancel your event or change any of the details.
