What is Salesforce?

CFA Institute utilizes Salesforce as the system of record for managing member, society member and contact data. Each Society has access to contact information for its members, as well as for candidates and contacts who reside in its Natural Society Area (NSA), via Salesforce. In addition, CFA Institute uses Salesforce Libraries to share important reporting and data files with Societies.

Natural Society Area (NSA) is the set of postal codes or geographical areas that CFA Institute assigns to each Society. Societies have visibility into contact information for members and candidates within their NSA. They can also view CFA Institute contacts within their NSA, as outlined in the Society Trademark License and Data Sharing Agreement (LDSA).

Society Salesforce Access

CFA Institute provides up to three Salesforce licenses for board members and additional licenses for any staff who require access. We recommend assigning the three board licenses to the Society President, Treasurer, and Membership Chair.

  • There are two types of Salesforce licenses for Society use: Full and Partner. Societies with Full licenses use Salesforce Marketing Cloud (SFMC) for email marketing and can manage campaigns. Partner licenses are assigned to Societies that use Salesforce only.

  • Licenses not used for more than 60 days will be deactivated.

  • If you are unsure of your Society’s license type, please contact the Society Support Center to inquire.


1. Salesforce Reports (Templates)

  • Type of Reports: Templated reports available to Societies that can be manually edited, filtered, and pulled on demand.

  • Type of Data Delivered: Real-time Society and NSA member contact data.

2. Salesforce Files 

  • Type of Reports: Files shared in Salesforce Libraries that deliver historical, trend, and/or financial data from CFA Institute to Societies. Reports are provided on a set cadence depending on the type of data. 

  • Type of Data Delivered: 

    • Society Data 
      • Consolidated Society Data Report (CSDR): Provides Society-specific historical and trend data. Frequency: Monthly

      • Society Retention Report: Provides Society-specific membership trend data. Frequency: Monthly, plus twice a month during the membership renewal period

    • Financial / Partner Reports*

      • Orders Report: Treasury report used to track payments made to Societies; relates to joins/renewals. Frequency: Monthly

      • Payments Report: Treasury report used to track payments made to societies; details reimbursements, funding, etc. Frequency: Monthly

    • Sustainable Investing Certificate (formerly ESG) Revenue Share Report: Tracks Society participation (if applicable) in the revenue share program. Frequency: Quarterly

    • Career Center Report: Tracks Society participation (if applicable) in revenue share program. Frequency: Biannually

These on-demand training courses are designed specifically for society leaders to enhance your knowledge and capacity around CFA Institute Data and Reporting tools as well as a new course on ChatGPT Teams.

Introduction to Society Data and Reporting (15 mins): provides a foundational overview of the data ecosystem that supports society operations. You’ll learn what data is available, where it resides, and how to use it responsibly. Special emphasis is placed on the Society Trademark License and Data Sharing Agreement (LDSA), which governs access to and use of CFA Institute data by societies.

Navigating Salesforce for Society Data and Reporting (55 mins): builds on foundational knowledge with hands-on Salesforce skills. You’ll explore how to locate and interpret contact and membership data, access key reports like Orders & Payments and Retention Reports, and find files needed for strategic planning and compliance. This course equips you to apply data insights to real-world society operations.

Society Leader Data and Reporting Use Case Testimonials (10 mins): hear from three society leaders on how they’ve leveraged society data and reporting to achieve goals, strengthen engagement, and transform operations.

Important Salesforce Information and Society Use Policies

CFA Institute is committed to continually simplifying and streamlining our data architecture. This work is necessary to continue our commitment to share member and contact data with societies. As a result, society leaders should expect periodic changes to the Salesforce experience. For detailed information about the type of contact data provided to societies, please refer to the Society Trademark Licensing and Data Sharing Agreement (LDSA).


Salesforce Licenses per Society:

CFA Institute provides licenses for up to three board members and additional licenses for any staff who require access; we recommend these three board licenses go to the society President, Treasurer, and Membership Chair. Failure to login to Salesforce consistently will result in deactivation of licenses that have not been utilized in over 60 days.


Salesforce Reports + CFA Institute Provided Data:

Society data sets and financial reports can be found in the Salesforce platform.


Salesforce Files Library Storage + Use: 

Salesforce Files Libraries are to be used by societies to receive information from CFA Institute. They cannot be used for society document storage—societies should maintain their own file storage system outside of CFA Institute–provided platforms.
Societies may retain the files in their Salesforce Files library for a maximum of one year before they are deleted by CFA Institute. CFA Institute will alert societies to this policy at the start of each calendar year.

Local Member Management: 
In certain instances, societies may wish to store local contacts on CFA Institute platforms to streamline their operations. Due to local privacy policies and laws, societies must comply with local permissions protocols. If your society is interested in an assessment, contact us.
